Privacy policy

1. Who we are. resolution is made by Southwood Technologies Ltd, a company registered in the United Kingdom (“we”, “us”, “our”). We are the data controller for the personal data described in this policy. Contact: support@southwood.dev. Southwood Technologies Ltd is registered in England and Wales, company number 13012413, registered office 2a Woodcote Avenue, Wallington, SM6 0QS, United Kingdom. If you have a complaint about how we handle your data that we have not resolved, you can complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

2. What this policy covers. This policy covers the resolution mobile app (iOS and Android) and the resolution web pages used for invites and account deletion. It does not cover any third-party site you reach by following a link out of the app.

3. Data we collect and why. We only collect what the app needs to run group accountability seasons. We collect: your name, to identify you to your group and mentor. Your email address, for sign-in, account recovery, and service messages. Your job title, if you choose to add one, to power the capability map mentor-matching feature. An age declaration that you are 13 or older, to meet App Store and Play Store age requirements. The photos and videos you capture as check-in or dare evidence, so your mentor and teammate can verify your progress. The free text you write, such as your goal, chat messages while setting it, comments, and dares. Usage analytics on the screens and features you use, so we can see what is working. Crash and performance data, to fix bugs and keep the app stable. And, if a friend adds you as a ghost profile before you join, a name, job title, and their guess at your skills (see section 5). We do not collect payment information, financial data, or precise location. resolution has no in-app purchases or money features in this version.

4. Sign in with Apple and notifications. Two further pieces of data are worth calling out on their own. First, if you sign in with Apple, we store the refresh token Apple issues for your account. We hold it only so that, when you delete your account, we can revoke your Sign in with Apple grant with Apple as their rules require, without asking you to sign in again first. It is stored on our server only, is never sent to your device or anyone else, can be read only by our own backend services and never by other users, and is deleted in the same step that deletes your account. Second, to run reminders and push notifications we store your device’s timezone and the daily reminder time you choose, so that reminders and follow-ups arrive at a sensible hour where you are; your device’s push token, issued by Expo, so we can deliver notifications to your phone; and a log of the notifications we have sent you, which we use only to avoid sending the same notification twice and to cap how many we send you in a day. Your timezone and reminder time are private to you and never shown to other members. You can turn each kind of notification off, or all of them, in Settings, or in your phone’s notification settings.

5. Ghost profiles: a note on legitimate interest. Before you join a group, a friend who is setting one up can add you as a “ghost profile”: just your name, job title, and their guess at your skills, so they can plan who to invite and what to ask you to mentor on. This is personal data about you collected from someone else, before you have consented to anything. We rely on legitimate interest for this: the data held is minimal, visible only inside the private group, never used for marketing, and either taken over by your own account when you join or deleted automatically after 60 days if unclaimed. If you are added as a ghost profile and do not want to be, ask the founder to remove you, or contact us and we will delete the record.

6. AI processing of your resolution text. When you set a goal in the app, your free-text description and chat messages are sent to Anthropic’s Claude API to turn your words into a structured plan of daily, weekly, monthly, and final tasks, and to help generate your end-of-season Wrapped summary. Anthropic processes this text as our data processor, under a data processing agreement, and does not use it to train its models under our commercial terms. Free text you write, including dares, comments, and forfeit text, is also automatically checked by an automated moderation process before it is shown to anyone else, to catch content that breaks our terms of service.

7. Who else sees your data. We use a small number of companies to run the app, each acting as our data processor on our instructions: Supabase for hosting, authentication, the database, and file storage; Anthropic for AI processing of your resolution text, plan structuring, moderation, and Wrapped narrative generation; PostHog, hosted in the EU, for product usage analytics; Sentry for crash and error reporting; and Expo for push notification delivery. We do not sell your data. We do not use any advertising or cross-app tracking, and resolution does not track you across other companies’ apps or websites for advertising purposes.

8. International transfers. Some of our processors, including Anthropic, may process data outside the UK and European Economic Area, including in the United States. Where this happens, we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or an equivalent adequacy mechanism, with each processor.

9. Your rights. Under UK GDPR you have the right to access the personal data we hold about you, correct inaccurate data, erase your data, export your data in a portable format, and restrict or object to certain processing, including processing based on our legitimate interest. You can also complain to the ICO at any time (see section 1). To delete your account, go to Settings, then Delete account, in the app. This is available at any time and takes two taps plus a confirmation. You can also delete your account from the web at https://joinresolution.app/delete-account without installing the app. To export your data, go to Settings, then Export data, in the app. To access or correct your data another way, email support@southwood.dev and we will respond within one month.

10. What happens when you delete your account. Your account is fully removed: your name, email, job title, age declaration, photos, videos, and free text are deleted or irreversibly anonymised. Sign in with Apple tokens are revoked at the same time. Historical group and league records are not deleted, since that would corrupt other members’ shared season history, but your identity is stripped from them and replaced with “A former member.” Your points contribution stays in the ledger, anonymised and no longer linked to you. Deletion is enforced within 30 days: a hard-purge job removes any remaining backups or soft-deleted rows by day 30. A small number of demo and review accounts used for App Store and Play Store review are excluded from self-service deletion by design; this is disclosed to reviewers, not to ordinary users.

11. How long we keep your data. Account data is kept for as long as your account is active. Ghost profiles are auto-deleted after 60 days if never claimed. Deleted account data is anonymised immediately and hard-purged within 30 days. Evidence media is kept for the life of the season or account, and deleted on account deletion. Crash logs follow Sentry’s default retention, typically 90 days. Analytics events follow our PostHog retention setting, which we review annually.

12. Where your evidence media is visible. Photos and videos you submit as check-in evidence are private by default to you and your assigned mentor, and visible to your group’s feed only if you choose to mark a check-in public. Private evidence is never visible to anyone else, including other group members, enforced at the database level, not just in the app’s screens.

13. Children and age requirements. resolution is not for children under 13. Everyone must declare they are 13 or older when they sign up. We do not knowingly collect data from anyone under 13. If we learn that someone under 13 has created an account, we will delete it.

14. Changes to this policy. We will update this policy as the app changes and tell you in-app when we make a material change.
